How it works

Set up fees once

  1. Add fee stages

Concept design, working drawings, site supervision, each with its amount.

  2. Pick when each is due

On a date, or when a stage of the plan is signed off or done.

  3. Record what comes in

The amount, the date and a note, such as bank transfer.

  4. Share and remind

Send a receipt or the fee statement, and remind when overdue.

FAQ

Fees questions

Who can see the fees?

Only the studio owner. Team members and interns never see fees, on Overview or anywhere else. Your client sees them only if you switch on Show fees on client link for that project.

Can a fee fall due when a stage is signed off?

Yes. Under When is it due?, pick When a stage is signed off or When a stage is done, then the stage. It falls due the moment that happens, Overview counts it, and the owner gets an alert.

What if I record a payment by mistake?

Reverse it with a reason. It stays in the record, marked as reversed, instead of being deleted.

Which plan has fees?

Fees, payments and receipts start on the Solo plan. A new studio gets 7 days of the full Firm plan to try them first.

More about fees and payments

Fee tracking for architects and interior designers

Design fees are usually paid in stages, such as concept design, working drawings and site supervision. The Fees tab keeps those fee stages next to the project they belong to, with what has been paid and what is still to collect. It is private to the studio owner, and amounts show in the currency you pick once in Settings.

Each fee stage has an amount and a rule for when it is due: on a date, or when a stage of the plan is signed off or done. A fee tied to a stage falls due on its own the moment your client signs off that step, with no date to keep track of.

Payments, receipts and the fee statement

Record each payment with the amount, the date and a note, such as bank transfer or cheque. The balance and anything overdue update themselves. Each payment has a receipt PDF, and the fee statement puts every stage, every payment and the balance in one PDF for your client.

When a balance is outstanding, Remind on WhatsApp opens WhatsApp with a polite reminder to your client, ready to send. A payment entered by mistake is reversed with a reason rather than deleted, so the record stays straight.

Why not a spreadsheet

A fee spreadsheet knows the amounts, but not that the concept was signed off yesterday and the next stage is now due. In Blueprint the fee sits beside the work. Overview shows the owner what is to collect, what is overdue and which fee stages fall due in the next two weeks, and Fees in the menu lists every stage on every project.

Approved extra work can be added to the fees by the owner, and a saving taken off them, so the final account matches what the client approved.

What your client sees

Nothing, until you decide. Switch on Show fees on client link for a project and your client sees the fee status on their link, including fees due at a step, such as Fee due when you approve this step.

Fees start on the Solo plan. See pricing for what each plan includes.
